Responsibilities
The Administration Section is responsible for:
- Managing services and utilities contracts for the Embassy's premises at Cockspur Street and the Ambassador's residence at Mount Street.
- Liaising with the Foreign and Commonwealth Office on behalf of all Brazilian diplomats and officials working for all Brazilian government organizations based in the UK.
- Managing logistical aspects when diplomats and officials are posted to the Embassy from abroad (shipping of household possessions, etc).
- Playing the role of human resources department for diplomats, officials and locally-contracted staff.
- Liaising with other British government departments and agencies: DVLA, BAA, Valuation Office Agency, local councils, etc.
- Managing internal and external administrative procedures relating to the recruitment of new members of staff.
- Managing insurance matters relating to the Embassy, the Ambassador's residence, and the Embassy's fleet of vehicles.
- Managing logistical aspects of visits to London by Brazilian government officials.
- Managing the purchases of publications and subscriptions to periodicals for the Brazilian foreign ministry's library in Brasília.
- Liaising with the relevant diplomatic missions in London in order to secure visas for diplomats and officials passing through the UK and on official mission to other countries.
- Managing accounts payable to British organisations and service providers.
- Managing the internal computer network and database, and assisting staff in their use.
- Managing the Embassy's inventory database.
- Managing the Embassy's fleet of vehicles.
