AANNOUNCEMENT OF JOB VACANCY FOR THE POSITION OF ADMINISTRATIVE ASSISTANT
In accordance with Decree No. 1,570, of July 21, 1995 and the Ordinance of the Minister of State for Foreign Affairs, of September 12, 1995, and with Law No. 11,440, of December 29, 2006, which provide for the selection process for hiring Local Assistants, the Selection Committee appointed by the Chargé d’Affaires a.i. of the Embassy of Brazil in Jakarta makes public that the inscriptions for the selection process for hiring of Administrative Assistant (AA) and formation of reserve register will be open from July 21 to August 4, 2025, as provided in this Notice.
1. Hiring Regime
Local Assistant is an employee hired locally by the Embassy of Brazil in Jakarta subject to renewal), to provide full-time technical, administrative or support services. The Labor Relations of the Local Assistant with the Embassy of Brazil in Jakarta are governed by the Indonesian law.
2. Employment
The hiring will be for the role of Administrative Assistant (AA), who performs tasks of administrative, consular, cultural and secretarial nature of medium level in the Chancellery of the Embassy.
2.1. Assignments
The approved and qualified candidate will perform the following tasks:
• Assistance to the Brazilian and foreign public: in person, by telephone, by electronic mail, or by other means;
• Provide consular assistance through traveling consular missions and visits to Brazilians in hospitals, prisons or other locations outside the Embassy's premises;
• Process and issue consular documents;
• Write official documents in English and Bahasa Indonesia, using Microsoft Office programs, with emphasis on Word and Excel;
• Preparing agendas, carrying out secretarial duties, updating the database, creating and updating spreadsheets in Excel and other systems, answering the phone, contacting Indonesian companies and public bodies, international bodies, foreign representations and embassies, and any other related tasks, in addition to being responsible for processing and filing official documents, writing reports, minutes of meetings and other official documents, among other duties;
• Protocol (control of entry and exit of official communications) and ceremonial (organization of official visits, meetings, events and receptions);
• Perform activities in the administration sector and auxiliary services of accounting and financial control (in particular regarding payment, termination or renewal deadlines);
Monitoring budgetary and financial balances, using the relevant IT resources;
• Regular dialogue with service providers and suppliers, in particular about carrying out market research for the acquisition of goods and services; and
• Organize and keep in order the printed and electronic files under one’s responsibility.
The employee may occasionally be asked to perform duties other than those described above, as well as to occupy another role within the same employment category.
The candidate must work 40 hours per week, from 8:00 to 17:00, with one hour for lunch, from Monday to Friday. Exceptionally, you may be required to work at different hours.
2.2. Salary
The gross salary will be IDR 17,976,094.75 (seventeen million nine hundred seventy-six thousand ninety-four Indonesian Rupiah and seventy-five cents) per month, upon which there will be applied the discounts stipulated by the Indonesian law.
3. Application requirements
3.1. Deadline: August 4, 2025, at 12:00 (noon)
3.2. Requirements
The Applicant:
a) Must be an Indonesian citizen or a permanent resident authorized to work in the Republic of Indonesia;
b) Must be at least 18 years of age (as demonstrated by an ID, driver’s license, passport or birth certificate);
c) Must have a certificate of secondary education or equivalent, according to the Indonesian Education system;
d) speak and write in Indonesian and English, fluently;
e) Must submit a Curriculum Vitae or resume and one or more letters of reference or recommendation;
f) Must submit an up-to-date criminal record;
g) Brazilian citizens must also meet the following requirements:
- be a permanent resident and authorization to work in the Republic of Indonesia;
- be up to date with requirements for military enlistment registration;
- be up to date with voting obligations;
- be fluent in Bahasa Indonesia; and
- submit a statement that the applicant does not hold a position or job with the Brazilian government, either in Brazil or abroad.
3.3. Address for submission of application form and other required documents
The applicant must deliver, no later than August 4, 2025, at 12:00 (noon) — by email (brasemb.jacarta@itamaraty.gov.br) or in person at the Embassy’s reception area (office hours Monday to Friday, from 9:00-14:00) - the original application form (available at the bottom of this Announcement), duly completed and signed, together with copies of documents described under item 3.2, letters “a” to “d” (in case of Brazilian candidates, also “f”) to the following address:

All correspondence related to this selection process must clearly contain the sender's name, address, telephone number and e-mail address.
4. Evaluation
4.1. Profile Selection (1st stage)
The Selection Committee will review the qualifications, profiles, and experiences of the applicants based on the documents submitted. The Embassy of Brazil shall not accept incomplete documents or documents delivered after the deadline.
The Selection Committee reserves the right to reject any applicant whose qualifications are not deemed compatible with the job on offer based on the documents submitted. The criteria to be analyzed include academic background and vocational training (including in languages other than Bahasa Indonesia and English), professional experience and recommendations from former employers.
Proficiency in English and/or Portuguese will be taken into account in the scoring process.
The final result of the profile selection process will be announced, likely on August 11, 2025, and posted on the Embassy’s website (https://www.gov.br/mre/pt-br/embaixada-jacarta). Candidates whose applications are accepted will also be informed by email.
4.2. Qualification Test (2nd stage)
Applicants whose applications are accepted shall take a written test to check the candidate's ability to translate texts and interpret texts in both Bahasa Indonesia and English. The test will assess Bahasa Indonesia and English proficiency and general knowledge relevant to the vacancy.
During the test, no consultation or communication between the candidates is allowed, nor will any kind of equipment be allowed.
The test will last for up to four hours. Applicants must answer the questions with a black or blue ballpoint pen, and the candidate's name or any other identifying sign of the authorship of the test may not appear on the answer sheets. The test that shows any sign that allows its identification will be disqualified.

There will be no second opportunity to take the tests, and applicants who fail to show will be automatically eliminated from the selection process.
The final result of the second stage of qualification selection process will be announced, likely on August 22, 2025, and posted on the Embassy’s website (https://www.gov.br/mre/pt-br/embaixada-jacarta). Applicants approved will also be informed by email.
4.3. Interview (3rd stage)
Candidates considered approved in the written test will be called for an oral test to demonstrate fluency, through an interview with an examining board established for this purpose.
The interview will be conducted by the Selection Committee, in which their English and Bahasa Indonesia proficiency and general knowledge will be assessed.
Interviews will be conducted by the Selection Committee, which will assign candidates a grade (from 0 to 5) in each of the following items:
a) professional attitude;
b) professional experience and profile suitable for the position for which they applied, including professional training courses or events;
c) knowledge of the English and Bahasa language. Knowledge of the Portuguese language, though not a requirement, will be valued positively.

4.4. Classification Criteria:
Candidates will be ranked based on their final scores resulting from referrals, training, test and interview, as follows:
a) REFERRALS: 5 points for each letter of referral presented.
b) TRAINING: 5 points for each training course or on-the-job training event that took part and that could be documented.
c) TEST: from 0 to 100 points.
d) LANGUAGE CAPABILITIES (English and Bahasa): from 0 to 50 points. Portuguese proficiency counts extra 10 points.
e) INTERVIEW: 100 points.
f) The highest score in language capabilities will be considered in the case of a draw.
4.5. Appeals:
The applicant will be allowed to appeal for a review of his/her results without suspensive effect against the result of the tests. The deadline for appeals is 2 (two) business days after the results are announcement.
5. Notification of hiring decision
The result of the selection process will be announced on September 5, 2025, and posted on the Embassy’s website (https://www.gov.br/mre/pt-br/embaixada-jacarta). All the approved applicants will be included in the reserve registry and may be called until the expiry of the selection process.
6. Medical Examination
In order to be hired, the selected candidate must present a certificate of physical and mental fitness, issued by a qualified professional in Indonesia. The costs arising from this requirement are the sole responsibility of the candidate.
7. Period of validity of the selection process results
The results of the selection process will be valid for twelve (12) months after the results are announced. During this time, other candidates deemed qualified may be offered employment, if a vacancy occurs in the employment category for which they applied.
